CONCEPT

Fair Makes Simple (FMS) is a technology platform that is transforming the operation process of event and exhibition world by automating the communications and processes of the many different stakeholders of an event and/or exhibition in one centrally managed platform.

BACKGROUND

In any event and exhibition environment, a wide variety of service providers and stakeholders are involved. There are many work process, communications and changes pre-, during and post-event.

a) Organizers
The organizer needs to constantly update and share exhibition information to a large number of exhibitors, ranging from 200 to 5,000.
b) Exhibitors
In any event/ exhibition, the exhibitor has a long list of items to prepare before the event. Furniture and equipment for their booth, insurance, travel and lodging etc. have to be arranged pre-event. The current operational model is time-consuming and could result with high risks of errors and administration costs.
c) Service Providers
An exhibition would have a more than 15 service providers with over 1000 workers working at the same time during move-in period. The orders for their services e.g. furniture required for each booth, is computed manually. Any changes or updates on their orders are communicated manually with no tracking record.

PLANNING

We adopted design thinking process when we were trying to make transformation.
We proposed the use of a highly iterative and participatory user-centred design methodology. FMS aims to,
-Streamline the exhibitors’ customer journey
-Reduce risks of errors
-Improve operation efficiency
-Streamline the communications flow
-Customer-centric and user friendly

IMPLEMENATION

The functionality is empowered with the latest technologies such as AI, AR, Cloud, Chatbot, IoT, Mobile Applications, Big Data Analysis, etc. resulting in innovative features ever had:
• Digitalized Workflow: Organizers, exhibitors and service providers can work and communicate on the same e-platform at the same time with different level of access rights being granted. The workflow is streamlined, ultimately enhances the operation efficiency.
• Dynamic Booth Layout: Exhibitors could self-design 2D booth drawing via drag-and-drop and generate 3D drawing. It saves much time and effort on booth drawing preparation.
• AR Booth Visualization: The 2D booth design could be visualized as 3D perspective simply with a portable device (e.g. smart phone/tablet) where it gives a quick picture to organizers and exhibitors.
• AI Drawing Vetting: Identify issues that do not comply with the regulations through AI technology in the drawing approval process. It speeds up the process, reduces manpower and eliminates human errors.
• Liaised Cloud-based Data & Design Bank: Data on FMS is synchronized on Cloud. The exhibitor database and data collected with IoT make FMS to become a strong knowledge base where business intelligence could be derived for organizers and operators’ future plan.
• AI Business Matching: Organizers could match exhibitors and visitors for appointments easily with AI-based recommendation according to their pre-set conditions. It generates quality sales leads to exhibitors and expedites business deals.
• Name card Capture: Allow exhibitors to capture the information of visitors/attendees with one scan for better lead management.

IMPACT

FMS enables operation efficiency via productivity improvements and automation, on average:
• It streamlined the process and improve communication time throughout pre-, during and post-show, the overall operation efficiency has been enhanced by 80%
• AI drawing vetting speeded up the approval process for safety management and reduced human errors by 80%
• With the use of dynamic booth layout, it saved 100% time and manpower for exhibitors with 3D drawings.
• The organizer can receive instant show’s information through the real-time dashboard, which saved 100% time and effort in preparing the statistic reports manually
• The paperless platform reduced paper usage by 100%, which contributed to environmental sustainability
• Exhibitors’ satisfaction rate exceeded 90% with the automated workflow and improved user experience."
